Job Description
We are seeking a bookkeeper who will be responsible for monitoring project expenditure, consolidating the project financial reports for DAPP. He/She will be responsible for making sure that all the reports are submitted on time and will be providing quarterly financial updates to project team. The Book Keeper will support project implementation in Bindura, Shamva, Mudzi and Murehwa Districts and will be based at DAPP Zimbabwe’s sub-office in Highlands, Harare.
Key Responsibilities
1. Accounting & Financial Support
- Providing accounting and financial support services for the project.
- Monitoring project expenditure to ensure alignment with budgets.
- Consolidating financial reports for DAPP across all four districts.
- Ensuring timely submission of financial reports to LCDZ.
- Providing quarterly financial updates to the project team.
- Maintaining and implementing both electronic and manual financial management processes, including:
- Chart of accounts
- Document flow and stewardship
- Filing, retrieval, and disposal processes
- Chart of accounts
- Participating in the development of project activities and annual budgets in liaison with senior management.
- Preparing advance cash requests to donors based on project projections.
- Overseeing accurate treatment of donor income and internal disbursements.
- Reviewing project expenditures and payment processes to ensure accuracy, timeliness, and compliance.
- Reviewing accounting ledgers and maintaining accurate financial records for reporting.
- Managing month-end closure activities and ensuring proper documentation for accurate reporting.
- Tracking and controlling expenditures within donor-approved budgets and recommending corrective actions as needed.
- Identifying, managing, and monitoring fraud and corruption risks within the project.
- Coordinating audits, liaising with compliance teams and external auditors, and ensuring timely implementation of audit recommendations.
- Providing timely and accurate financial reports to internal and external stakeholders in compliance with organizational policies and grant agreements.
2. Cash Management
- Implementing and enforcing cash management procedures.
- Ensuring availability and secure storage of necessary cash.
- Reviewing and processing project-related payments.
- Implementing internal finance control systems and recommending improvements.
- Visiting project sites to monitor progress and fund utilization.
- Updating cash advances, tracking expenditures, and requesting cash in line with project needs.
- Providing technical financial support to project staff.
Requirements & Qualifications
- Diploma in Accounting or Business-related field
- 3+ years of experience in the related field.
- At Least 3 years’ experience with the NGO environment
