Job Description

Context & Environment

Zimbabwe's economy is navigating a complex mix of challenges and opportunities as it enters 2025. The country remains heavily reliant on sectors such as agriculture and mining, but inflation, currency volatility, and external debts continue to weigh on growth. The oil industry, while not as prominent as mining or agriculture, plays a crucial role in the country's energy supply and economic stability.

Forex shortage and availability of quality goods and services (to the standards of TotalEnergies are other challenges)

Key Responsibilities

Sourcing of Goods and Services

  1. Obtain quotations from reputable suppliers, evaluate quotations, and negotiate for purchase discounts and payment terms.
  2. Approve purchase requisitions in My eProc, ensuring correct material codes are selected and quotations from approved suppliers are attached.
  3. Ensure a minimum of three suppliers per supplier panel in the approved Suppliers’ List to secure competitive pricing for goods/services.

Tenders

  1. Organise meetings with prescribers for upcoming tenders.
  2. Prepare and compile comprehensive tender documentation.
  3. Present tender documents to the Local Contracts Committee before launch.
  4. Upload data into E-Sourcing and launch the tender.
  5. Present tender results to the Tender and Local Contracts Committees for ratification.
  6. Send award and regret letters to bidders.
  7. File a complete tender pack of all related exchanges.

Supplier List Management

  1. Prepare the annual approved suppliers’ list.
  2. Update supplier master data (e.g., banking details, main contact information).
  3. Block suppliers unused for over 12 months.
  4. Ensure correct and relevant supplier information is input by the Debtors section in SAP.
  5. Conduct annual supplier visits and evaluations where applicable.

Purchasing Reports and Management of Tools

  1. Produce and distribute bi-monthly outstanding purchase order reports (ME2N).
  2. Compile quarterly priority accounting reports and a purchasing dashboard report.
  3. Launch tenders via ARIBA (E-Sourcing tool), analyze submissions, and present award recommendations to the Tender Committee.
  4. Follow up on open purchase orders to ensure on-time delivery of materials and services.
  5. Provide end-user support for My eProc.
  6. Update purchasing savings in AGORA.

Mutual Support and Segregation of Duties

  1. Create and amend customer accounts in SAP.
  2. Assist users in completing Anti-Corruption Due Diligence documentation.

Requirements & Qualifications

  • Degree in Supply Chain Management and Logistics or equivalent
  • Minimum One (1) year experience.
  • Good analytical and problem-solving skills.
  • Class 4 Driver’s license
